Who this is for

Membership directors, subscriber operations leads, and finance partners who share one headline churn number but disagree on what an “active” subscription means week to week.

Result

A measurement map your teams can defend: lifecycle stages tied to real billing events, a ranked list of churn precursors tested on recent exits, and a live briefing that walks both membership and finance through the same cohort calendar.

Scope included

  • Inventory of join, renew, pause, grace, cancel, and fail-to-pay fields
  • Agreed definitions for active, at-risk, and left — written in plain language
  • Reconstruction of at least two renewal cohorts on the agreed calendar
  • Ranking of churn precursors with short evidence notes
  • One ninety-minute briefing with up to six stakeholders
  • Written pack (PDF) suitable for board or leadership papers

Scope excluded

  • Building or licensing software
  • Ongoing call-centre scripting or campaign creative
  • Changes to your billing vendor configuration (we advise; your provider implements)

Process

  1. Briefing — thirty to forty-five minutes to understand products, renewals, and current reports.
  2. Data inventory — shared list of fields and known gaps; sample extracts under your data-sharing rules.
  3. Measurement rebuild — lifecycle stages and cohort cuts drafted, then reviewed with you.
  4. Signal ranking — precursors tested against recent leavers and non-renewals.
  5. Briefing & pack — presentation of findings and handoff of the written map.

Preparation

Useful materials include a recent churn or retention report, a data dictionary if you have one, and a contact who can explain grace periods and failed-payment retries. Perfect data is not required; we document limitations.

Constraints

Best fit for programmes with roughly 2,000 or more paying relationships and at least twelve months of renewal history. Smaller clubs can still enquire — the fee and timeline adjust to the thinner record.
