Data we collect
- Contact form and email: name, email address, organisation context, message content, and optional engagement preference.
- Phone enquiries: notes needed to respond.
- Engagement work: personal data contained in datasets you supply (for example member identifiers in extracts). We process that data as instructed for the engagement and under the agreement with your organisation.
- Technical logs: IP address, browser type, and pages visited when essential for security and operation; analytics cookies only if you accept them.
Purposes and lawful bases
- Responding to enquiries — legitimate interests / steps toward a contract.
- Delivering contracted measurement work — performance of a contract.
- Operating and securing the website — legitimate interests.
- Optional analytics — consent via the cookie banner.
Retention
Enquiry messages are kept up to 24 months unless a longer period is needed for an active engagement or legal claim. Engagement materials follow the retention period in the statement of work, typically up to 6 years for contractual records. Analytics data, when enabled, is retained according to the tool settings described on the cookies page.
Sharing
We use hosting and email providers who process data on our instructions. We do not sell personal data. We may share information if required by law or to protect rights and safety.
International transfers
If a processor stores data outside the UK, we use appropriate safeguards such as the UK International Data Transfer Agreement or adequacy regulations where available.
Your rights
Under UK GDPR you may request access, correction, erasure, restriction, objection, or data portability where applicable, and you may withdraw consent for analytics cookies at any time. Contact contact@cloudloop.digital. You may complain to the Information Commissioner’s Office (ICO).
Children
Our services are aimed at organisations and adult professionals. We do not knowingly collect data from children.
